Job Description
We are seeking a detail-oriented and organized Transaction Coordinator to manage the administrative aspects of real estate transactions. This individual will be responsible for ensuring smooth, efficient, and timely processing of all real estate transactions from contract to closing. The ideal candidate will love working behind the desk, be passionate about organization, and have a strong background in real estate transaction management. You will be crucial to the success of our team by keeping the process on track, maintaining clear communication, and supporting both clients and agents.
Responsibilities:
• Transaction Management: Oversee all aspects of the transaction process from the moment a contract is signed to the final closing. Ensure all deadlines are met, and required documents are completed accurately and on time.
• Client Communication: Serve as the point of contact for clients, providing updates and answering questions to ensure they feel informed and supported throughout the process.
• Documentation & Compliance: Review and manage contracts, addendums, and related documents for accuracy, completeness, and compliance with state and local regulations.
• Coordination: Work closely with real estate agents, clients, title companies, lenders, inspectors, and other involved parties to facilitate smooth transactions.
• Reporting & Tracking: Maintain accurate records of transactions and generate reports as needed. Track key performance metrics and provide insights into team progress and areas for improvement.
• System Maintenance & Organization: Utilize CRM and transaction management tools to track and update the status of transactions. Keep all transaction files organized and up-to-date.
• Client Experience: Ensure every client receives top-tier service by proactively addressing potential issues and making their experience as seamless as possible.
• Statistics & Analysis: Assist in creating and analyzing reports related to sales performance, market trends, and customer satisfaction to aid in team growth and success.
Qualifications:
• Experience: Minimum of 2 years of experience as a Transaction Coordinator or in a similar administrative role within the real estate industry.
• Real Estate License (Required or In Progress): Must have an active real estate license or be actively pursuing one.
• Attention to Detail: Strong organizational skills with an eye for detail and the ability to manage multiple tasks simultaneously.
• Strong Communication Skills: Ability to communicate clearly and effectively with clients, agents, and other parties involved in the transaction.
• Technology Proficiency: Familiar with real estate transaction management systems (e.g., Dotloop, Skyslope, etc.), CRM platforms, Microsoft Office Suite (Word, Excel), and Google Suite.
• Problem Solving: Ability to handle issues as they arise, ensuring that they are resolved quickly and efficiently.
• Client-Focused: A dedication to providing outstanding service and a genuine desire to contribute to a positive experience for all clients.
• Team Player: Ability to collaborate with team members while also being self-motivated and independent in your role.
Preferred Skills: • Knowledge of Local Market: Familiarity with local real estate laws, regulations, and market trends is a plus.
• Analytical Skills: Ability to analyze data and generate insightful reports to help the team improve.
