Hotel Event Planner & Guest Relations Manager

We are looking for a passionate Event Planner & Guest Relations Manager to join the Events and Experience team at Hotel Lex to lead the planning and execution of all events.

Job Responsibilities:

• Develop an event management plan for events which includes comp set reporting, pricing, planned outreach with local vendors.
• Monitor the progress of the planning and execution of each task that has to do with the event.
• Serve as the primary contact between the event and third-party vendors
• Make sure staff adheres to the company event policies that are put in place to ensure a smooth, successful, fun-filled event.
• Greet all guests for each of your events upon arrival and upon conclusion of the event. The Event Planner & Guest Relations Manager is the primary point of contact for all aspects of the event from start to finish.
• The position requires 50-60 hours per week when an event is planned. Some weeks will vary-based on the event calendar and what is scheduled. The Event Planner & Guest Relations Manager reports to the GM who will manage your schedule. Non-event weeks, your schedule would be 9am-6pm- which may include weekends and evenings.
• Responsible for planning and executing outreach and creating a plan that you will execute. You will be required to work on outreach to local hotels and form relationships with the concierge teams, sending of mailers and marketing of the space.
• Create a weekly forecast that details a Week of Week variance to monitor profits and losses based on revenue generated from the events
• Along with the GM you must ensure that all staff members are trained on their responsibilities and are familiar with the venue and their specific roles and responsibilities and assigned stations during the event.
• Manage the flow of operations during an event to ensure that everything operates smoothly, including setup, breakdown, activities, and tear down.
• Participate and become a member of the local event planning committee.
• Take ownership of the event space to ensure it meets the needs of the client/customer. Attention to small details is critical.
• Working on logistics with the GM so that the rooms are set up ahead of time for events.
• Coordinate with local staffing agencies for personnel to help with event coverage.

Qualifications:

• Prior experience in customer service
• Excellent phone skills and communication skills
• Must be a cheerful, fun and energetic team player
• High school diploma or GED equivalent required.

Physical Demands:

This position is very active and fast paced and requires standing for long periods of time. The position may require occasional lifting of products weighing up to 20 pounds.

Position Type and Expected Hours of Work:

This position regularly requires long hours and a schedule that fluctuates based on business needs. We are looking for an experienced events manager who has 3-5 years of event sale/management experience in a restaurant or hotel. Duties will include but will not be limited to:

• Responding to leads within 24 hours of receiving them.
• Walking our guests through the entire process from start to finish and following up with the guest after they have their event with us to seek feedback.
• Hosting a weekly meeting to review the coming events.
• Compiling and updating a weekly booking spreadsheet that must be shared with ownership.
• Working with vendors/chef and creating custom menus for each of our events. Be mindful of special dietary needs.
• Other duties as assigned throughout Hotel Lex when events are not scheduled.
