Job Description

We are searching for the right candidate to fill this integral customer-interfacing, support position on our growing team. Strong organizational skills, pride in their quality of work, multi-tasking ninja-like skills + ability to balance multiple projects + deadlines are all foundational components needed in this position. This individual will play a crucial role in supporting our real estate transactions combined with various office responsibilities and will probably have a lot of ‘C’ on the DISC profile! You may be a solo Realtor recognizing that the constant ebb and flow is not a good match for your need of consistent & steady income, or you may be an executive admin or transaction coordinator on a team ready for more responsibility! Responsibilities include coordinating all aspects of our Oregon real estate transactions from prep to close and supporting the behind-the-scenes responsibilities keeping our team humming. Our ideal candidate can solve problems quickly, able to manage multiple transactions & projects at the same time & enjoys the fast-paced & varied environment that real estate provides. Responsibilities: Real Estate File Coordination:

  • Information management, oversight of contracts and listings from start to completion
  • Coordinates all necessary data and documents to ensure transactions are created promptly and all documents are uploaded accurately into internal systems
  • Use tasks and checklists to manage various stages of transactions, ensuring file compliance, and following any action items through completion. Utilizes computerized systems to track transaction progress
  • Monitor and assess the progress of the sale all the way to close and ensure deadlines are met. Understands the nuances in a transaction and boundaries of the role and more, this list is not exhaustive
  • Coordinates communication between parties involved in transactions. Follow checklists, weekly written transaction in progress updates & obtain weekly updates from Lender, Escrow, Title, and Agent as needed
  • Schedules appointments, meetings, providing necessary reminders and follow-ups. May need to meet contractors, vendors, inspectors, appraisers, or check lockboxes etc. when needed.
  • Maintain and organize files, documents, and records, both digital and physical, ensuring confidentiality and efficiency
  • Manages/create, implements all systems for client database, trackers, spreadsheets, systems: Input, update, maintain client files in database & CRM, print out daily to do list, manage warm and hot list, prep/send out letters/mailings as needed, set appointments as needed, NINJA flow etc
Qualifications:
  • Must have a valid Real Estate License
  • Passionate about providing excellent customer service
  • Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly
  • Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued
