Responsibilities

(Hybrid opportunity- 3 days in the office and 2 from home.)

The UHS' Payer Strategies Department is hiring an Administrative Coordinator to provide administrative and secretarial support to regional financial officer and national Vice President, Payer Strategies in UHS Acute Care Hospital Division in order to maintain and enhance information management and communication in accordance with corporate office support procedures and practices.

Key Responsibilities include:

  • Facilitates communication between Acute Care facilities and Corporate office to access information, share resources and provide support. 
  • Requests, collects, and compiles information from Acute Care facility management as requested.
  • Generates reports or summaries of information on a prescribed periodic or as requested basis. 
  • Serves as an information resource to facility or Corporate personnel as required. 
  • May coordinate information requests and collection, required of facility management.
  • Establishes updates/approvals and maintains all required records and information files, whether by electronic or manual means, such as expense reports, travel itineraries (as requested) budgets, salary actions, timesheets etc. 

  • Types correspondence, reports, etc. 
  • Copies materials.  Sorts and distributes mail. 
  • Attends and prepares meeting minutes as requested. 
  • Provides business guest courtesy functions such as arranging lunch and dinner reservations.
  • Coordinates travel and lodging arrangements. 

  • Coordinates on-site and off-site meetings as needed, including venue selection, invitation delivery, compiling and distributing meeting materials, facilitating lodging and other needed reservations, special events, audio-visual equipment, catering, and cost tracking.

  • Maintains proper levels of required office supplies and ensures maintenance of equipment.  

  • Determines the optimum manner with which to organize the office and related administrative systems, processes and records.

  • Screens and directs incoming calls to the executives and their teams. 

  • Manages calendar and day-to-day meeting planning, including coordination of meeting rooms and necessary audio-visual equipment. 

  • Anticipates executive and office needs and escalates important matters as necessary.

Qualifications

Professional certification required with a minimum of 3 years of relevant experience. Associate's degree preferred.

  • Demonstrated working knowledge of practices related to general office administration and secretarial functions such as record maintenance, travel, reporting, communication, business etiquette, typing, mail services, office equipment requirements and maintenance, and office supplies.
  • Intermediate knowledge of, electronic mail (MS Outlook), word processing (MS Word), databases, presentations (MS PowerPoint), document management (Adobe Acrobat), electronic spreadsheets (MS Excel) and related PC based operating systems such as MS Windows and Office. 
  • Ability to perform Internet research using Google or comparable search engines. 
  • Experience with traditional office equipment such as telephones, copiers, printers, etc.
  • Excellent interpersonal, telephonic and communication (oral and written) skills, organizational management success a necessity. 
  • Ability to interact, communicate effectively and build collaborative working relationships with senior management, facility executives and their support teams.
  • Maintains confidentiality. Experience as an executive assistant to a senior executive preferred.
  • The ability to operate in a fast-paced, cross-functional/matrix and confidential environment, and succeed in coordinating multiple projects/tasks across different departments.
